Data Sharing, Availability, and Repository Policy
Policy Statement:
The Archives of Hospital Medicine advocates for open science and transparency. We encourage authors to share not only the data, code, and materials underlying their research but also to maximize the dissemination of their articles themselves. This policy facilitates verification, replication, and further research while removing barriers to access.
Part A: Research Data Sharing
1. Data Availability Statement:
All manuscripts must include a dedicated "Data Availability Statement" before the reference list. This statement must clearly describe how and where the supporting data, code, or materials can be accessed. If public sharing is restricted for legal, ethical, or commercial reasons, the statement must provide the specific restrictions and explain how researchers can request access.
2. Data Deposition:
Authors are strongly encouraged to deposit data in publicly recognized, discipline-specific repositories that provide persistent identifiers (e.g., Figshare, Dryad, GenBank, ClinicalTrials.gov). Persistent identifiers (DOIs, accession numbers) must be cited in the Data Availability Statement.
3. Data Citation:
Datasets published or deposited in external repositories must be fully cited in the article's reference list, following standard citation format.
Example Data Availability Statements:
· "The datasets generated and analyzed during this study are available in the [Repository Name] repository, [Persistent URL or DOI]."
· "The data that support the findings of this study are available from [Third Party Name] but restrictions apply to the availability of these data. Data are, however, available from the authors upon reasonable request and with the permission of [Third Party Name]."
Part B: Article Version Repository Policy (Self-Archiving)
In line with our open access principles, we permit and encourage the deposit of all versions of an article in institutional, disciplinary, or other repositories of the author's choice without embargo.
1. Submitted Version (Preprint):
Authors are allowed and encouraged to deposit the original submitted manuscript (preprint) in an institutional repository, personal website, or recognized preprint server (e.g., arXiv, bioRxiv, SSRN) at any time—prior to or during peer review. There are no restrictions.
2. Accepted Version (Author's Accepted Manuscript):
Authors may deposit the peer-reviewed and accepted manuscript (prior to copyediting) in any repository immediately upon acceptance. This version must include an acknowledgment (e.g., "Accepted for publication in J Prev Complement Med, [DOI]").
3. Published Version (Version of Record):
The final published PDF may be deposited in repositories immediately upon publication. Authors must use the journal's published PDF and include proper attribution as required by our Creative Commons Attribution-NonCommercial 4.0 International License (CC BY-NC 4.0).
